Cancellation & Refund Policy
General conditions for customized travel services arranged in China. MuslimTravelChina plans customized travel services according to each group's confirmed itinerary. Hotels, transport, guides, attraction tickets, domestic flights, trains, activities and other services may require advance payment.
This policy explains how cancellations, booking changes and refunds are handled. The cancellation terms stated in a confirmed proposal, service agreement or contract will apply where they differ from this general website policy.

01
How Should a Cancellation Be Submitted?
Cancellation requests must be submitted in writing by email or through the communication channel used to confirm the booking.
The cancellation date is the date on which MuslimTravelChina receives the written request. Requests received outside normal working hours will be recorded on the next working day.
-
02
What Cancellation Charges Apply?
Unless different terms are stated in the confirmed quotation, proposal, booking confirmation or service agreement, the following cancellation charges apply:
Written Cancellation Received

30 days or more before arrival
No cancellation fee, except for non-refundable supplier costs
15–29 days before arrival

75% of the total confirmed land service cost
3 days or less before arrival

The cancellation date is the date on which MuslimTravelChina receives the written cancellation request.
Non-refundable supplier costs may apply in addition to the percentage-based cancellation charge where such costs have already been paid, guaranteed or committed. These may include:
- Hotel deposits
- Domestic flight and train tickets
- Attraction and performance tickets
- Special permits
- Chartered transport
- Event venues
- Restaurant deposits
- Supplier prepayments
- Services arranged specifically for the confirmed itinerary
Certain services may become non-refundable as soon as they are confirmed, reserved, guaranteed or issued. These conditions will be stated in the quotation, proposal, booking confirmation or service agreement where applicable.
-
03
Do Special Cancellation Terms Apply to Some Bookings?
Yes. Certain services may have stricter or separate cancellation conditions, particularly during:
- Chinese public holidays
- Major exhibitions, festivals or events
- Peak travel periods
- Large group movements
- Yangtze River cruises and other cruises
- Tibet and other permit-controlled journeys
- Charter transport, private events and venue bookings
- Bookings requiring non-refundable advance payment
Any special conditions will be stated in the proposal, quotation, invoice or contract before payment.
-
04
What Happens If the Number of Travellers Is Reduced?
A reduction in group size is treated as a partial cancellation. It may result in cancellation charges, supplier penalties, changes to room arrangements, a revised price per traveler or additional operating costs.
The revised cost will be calculated according to the remaining group size and confirmed services. For large groups, educational programs, MICE projects and other customized arrangements, separate cancellation conditions may apply and will be stated before booking.
-
05
Can Travel Dates or Services Be Changed?
Requests to change travel dates, hotels, transport, room types, attractions or other confirmed services are subject to availability and supplier approval.
Minor changes may be accepted without an additional service fee when they do not cause supplier penalties, additional operating costs or changes to confirmed arrangements. Any additional cost will be advised before the revised arrangements are confirmed.
If confirmed services are cancelled as part of an amendment, the cancellation charges in this policy may apply. A substantial change of dates or itinerary may be treated as a cancellation and a new booking.
-
06
What Happens in the Event of a No-Show?
A no-show occurs when a traveler fails to arrive, join the tour or use a confirmed service without providing written cancellation notice in advance.
No refund will be provided for confirmed but unused services, including accommodation, guides, vehicles, transfers, meals, attraction tickets, domestic flights, train tickets and other confirmed arrangements.
Services voluntarily missed after the tour has started are also non-refundable unless the relevant supplier approves a refund.
-
07
What Happens If a Visa Is Refused?
Travelers are responsible for checking passport, visa, transit and entry requirements before travelling.
A visa refusal or delay does not automatically qualify for a full refund. We will refund the recoverable portion of the payment after deducting services already provided and confirmed costs that cannot be recovered from suppliers.
Travelers should obtain travel insurance that includes appropriate cancellation protection where available.
-
08
What Happens in the Event of Force Majeure?
Force majeure refers to events that cannot reasonably be predicted, avoided or overcome, such as natural disasters, serious public health events, government restrictions, war, civil disturbance or the closure of transport routes or attractions.
If such an event prevents the itinerary from continuing, MuslimTravelChina and the client may agree to adjust the itinerary, postpone the journey, replace affected services or cancel the affected part of the booking.
If the booking is cancelled, payments will be refunded after deducting amounts already paid to hotels, transport providers, attractions and other suppliers that cannot be recovered. If an itinerary change increases the cost, the additional amount will be discussed before confirmation. If it reduces the cost, the recoverable difference will be refunded.
-
09
What Happens If MuslimTravelChina Cancels a Confirmed Service?
If MuslimTravelChina cancels a confirmed service for reasons within our control and no suitable alternative is accepted, the amount paid for the unprovided service will be refunded.
We are not responsible for separate costs booked directly by the traveler or partner, including international flights, personal accommodation, visas or insurance, unless responsibility is established under the applicable contract or law.
-
10
Are Unused Services Refundable?
Services voluntarily missed or unused after the tour has begun are normally non-refundable. If a supplier agrees to return any unused amount, the recoverable balance will be refunded after applicable costs have been deducted.
-
11
How Are Refunds Processed?
Refunds are processed after written confirmation has been received from the relevant suppliers. Approved refunds will normally be returned through the original payment method.
Bank charges, transfer fees, payment platform fees, currency-exchange differences and third-party charges may be deducted. The time required for the funds to reach the recipient depends on the banks, payment platforms, suppliers and public holidays involved.
-
12
Should Travellers Purchase Insurance?
Travelers should obtain comprehensive international travel insurance before departure. The policy should provide suitable protection for trip cancellation or interruption, medical treatment and emergency assistance, travel delays, baggage, personal liability and repatriation where applicable.
Insurance coverage and claim decisions are determined by the insurance provider.
