MuslimTravelChina handles personal information only when it is reasonably required to prepare, confirm, and operate travel services in China.

Information received from travel partners and travellers is not sold or used for unrelated commercial purposes. Access is limited to staff and service providers who need the information to perform the confirmed arrangements.
This policy explains how traveler and partner information is collected, used, shared, stored, and protected.

  1. Information We May Collect

    Depending on the services requested, MuslimTravelChina may receive travelers' names, nationalities, dates of birth, gender, passport or visa details, contact information, emergency contacts, transport details, hotel rooming lists, room preferences, dietary requirements, food allergies, accessibility needs, payment information, and booking communications.
    Only information reasonably necessary for the requested services should be provided.

  2. How Information Is Used

    Personal information may be used to prepare quotations and itineraries; confirm hotels, transport, guides, meals, tickets, and attractions; arrange transfers; coordinate dietary, accessibility, and other service requirements; communicate about confirmed arrangements; respond to operational issues or emergencies; prepare invoices and booking records; and meet applicable administrative or legal requirements.
    Information will not be used for a materially different purpose without an appropriate reason or consent where required.

  3. Information Received from Travel Partners

    Travel partners must ensure that they are authorized to provide traveler information to MuslimTravelChina for the preparation and operation of the requested services.
    Travel partners should inform travelers that relevant information may be shared with MuslimTravelChina and the suppliers involved in their travel arrangements in China. Passport copies, medical information, and other sensitive information should not be sent unless necessary for the booking or requested service.

  4. Sharing Information with Service Providers

    MuslimTravelChina may share necessary information with hotels, transport providers, guides, ticketing services, restaurants, attractions, local operators, and other suppliers involved in a confirmed booking.
    Only the information reasonably required by each provider should be shared. Service providers are expected to use the information only for the relevant travel arrangements.

  5. Sensitive traveler Information

    Passport details, health-related information, dietary requirements, religious requirements, and accessibility needs are treated with additional care.
    Such information will only be used when relevant to the requested services, traveler safety, legal requirements, or proper operation of the tour. Dietary or religious requirements will not be used for marketing or unrelated profiling.

  6. No Sale of Personal Information

    MuslimTravelChina does not sell, rent, or trade traveler or partner information.
    Personal information is not provided to unrelated third parties for their independent marketing activities.

  7. Photographs and Marketing Use

    Photographs or videos taken during a tour will not be used for public marketing, advertising, social media, or promotional materials without appropriate permission.
    A traveler’s participation in a tour does not, by itself, constitute consent for promotional use of their image.

  8. Information Security

    MuslimTravelChina takes reasonable administrative and operational measures to protect personal information against unauthorised access, accidental loss, improper disclosure, alteration, or misuse.
    Access is limited to personnel and service providers who require the information for the relevant booking. However, no email, messaging platform, electronic storage system, or internet transmission can be guaranteed to be completely secure.

  9. Information Retention

    Personal information is retained only for as long as reasonably necessary to operate the booking, maintain required business records, resolve service matters, and meet applicable legal or administrative obligations.
    When information is no longer required, it may be securely deleted, anonymised, or removed from active records.

  10. Information Used in Emergencies

    When reasonably necessary to protect a traveler’s health, safety, or legal interests, relevant information may be provided to medical services, emergency responders, insurers, government authorities, consular representatives, or other appropriate parties.
    Only information relevant to the circumstances should be disclosed.

  11. Access and Correction Requests

    Travel partners and travelers may request that inaccurate or incomplete information be corrected. Requests to access, update, or remove personal information will be reviewed according to the nature of the information, booking status, supplier requirements, and applicable record-keeping obligations.
    Some information may need to be retained for confirmed travel services, financial records, dispute handling, or legal compliance.

  12. Information Relating to Minors

    Information concerning children or other minors should be provided only by a parent, legal guardian, school, authorised organisation, or travel partner acting with appropriate authority.
    Such information will be used only for the travel arrangements, safety, and service requirements of the relevant traveler.

  13. Privacy Incident Response

    If MuslimTravelChina becomes aware of unauthorized access, loss, or disclosure that may materially affect personal information, reasonable steps will be taken to investigate, limit further exposure, and notify the relevant travel partner or affected party when appropriate.

  14. Partner Responsibilities

    Travel partners are responsible for collecting traveler information through appropriate means; providing only information necessary for the requested services; keeping information accurate and current; sending sensitive documents through an agreed channel; requesting corrections when needed; and communicating relevant privacy information to travelers.

  15. Policy Application

    This policy applies to personal information received in connection with enquiries, quotations, bookings, and travel services handled by MuslimTravelChina.
    Specific privacy or data-handling terms stated in an applicable contract or written agreement take precedence if they differ from this general policy.
